Plumber invoice template for Australia

A plumber’s tax invoice needs what every Australian tax invoice needs: the words "Tax invoice", your business name, ABN, the date, what you did and the GST. On top of that, plumbing bills are easier to pay when call-out, labour, each part, disposal and any deposit sit on their own lines. The free plumber invoice template below works out GST to the cent and asks for the customer’s details, which the ATO requires on sales of A$1,000 or more.

Lines that make a plumbing invoice easy to pay

  • Call-out on its own line, matching what you told the customer when they booked.
  • Labour with the hours and rate, or the fixed price from your quote.
  • Each part with make and model. When a unit fails under warranty in three years, this is the record you will look for.
  • Disposal of the old unit or fixtures.
  • Any after-hours loading as a separate line, at the rate you agreed beforehand.
  • The quote number, so the customer can match the invoice to what they accepted.

Taking the deposit off

If the customer paid a deposit, you probably gave them a deposit tax invoice at the time. The final invoice then shows the full job and takes off the amount already paid, so the GST across both invoices adds up to the GST on the whole job. Name the deposit invoice by its number on the deduction line, so nobody thinks they are paying twice.

Invoicing agents, strata and builders

For a rental, check who the buyer is before you write the invoice: usually the owner, with the agent paying on their behalf. Put the property address and the agent’s work order number on it, or the invoice can sit unpaid while someone works out which job it was.

Builders sometimes pay subcontract plumbers with a recipient-created tax invoice (RCTI). If you agree to that in writing, the builder writes the tax invoice and you don’t issue your own for that work. Builders also report what they pay plumbing subcontractors to the ATO each year in their taxable payments annual report, so expect to be asked for your ABN, name and address.

Payment terms that get paid

No law sets payment terms for private customers; they are what you agreed. Print yours on the quote and the invoice. Many plumbers ask homeowners to pay on completion and give commercial accounts 14 to 30 days, but that is common practice, not a rule. Interest or a late fee can only be charged if the customer agreed to it beforehand. Read get paid faster for what to do when an invoice runs late.

From accepted quote to paid invoice

In Karya Falak, Create invoice turns the accepted quote into a draft with the deposit already taken off. Your PayID and BSB print on it with a QR code to the pay page, you can add an Australian payment slip, and if you switch reminders on, polite reminders go out 1, 7 and 14 days after the due date. Issued invoices and payments go to Xero or QuickBooks to the cent. See invoicing. Rules checked 30 October 2026 against ato.gov.au, business.gov.au, ACCC and state regulator guidance. General information only, not tax or legal advice. Ask your accountant, BAS agent or state regulator about your own situation.

Questions

Do I have to show the GST as a separate amount?

You can show the GST amount, or, when every line is taxable, print "Total price includes GST". If you mix taxable and GST-free lines, show the amount and mark which lines carry it.

A customer has asked for a tax invoice weeks later. Do I have to send one?

Yes, for a sale over $82.50 including GST you have 28 days from their request to give it to them.

I’m not registered for GST yet. Can I still use this?

Yes. Switch GST off and the template is titled "Invoice", with no GST added. Don’t call it a tax invoice.
