In Australia, a painter’s tax invoice needs "Tax invoice", your business name, ABN, the date, the work and the GST, and on jobs of A$1,000 or more, the customer’s name or ABN. Most repaints pass that mark, so put the customer on every invoice. The free painter invoice template below does the maths. This page covers final invoices after a deposit, variations, paint supplied, and invoicing builders.

Send invoices straight from the job
Karya Falak turns the job into a tax invoice with your ABN, PayID and bank details, and syncs it to Xero or QuickBooks.
Show the job as quoted, add any approved variations, then take off the deposit, naming the deposit invoice by number. The GST on the deposit invoice and the final invoice then adds up to the GST on the whole job. Invoice after the final walk-through, once the customer has seen the touch-ups done; it saves a dispute about whether the job was finished.
Variations and extra coats
A feature wall in a new colour, an extra room, or an extra coat to cover a dark colour should each be a separate line, with the date the customer approved it. Work the customer didn’t agree to beforehand can’t simply be added.
Paint and materials
If you supply the paint, it is part of your taxable sale when you are registered for GST, whether you list it separately or include it in the price. Listing it by product and quantity helps when the customer wants to buy matching paint for touch-ups later.
Working for builders
Builders who pay painting subcontractors report those payments to the ATO in their taxable payments annual report, so they will need your name, ABN and address. Some pay through recipient-created tax invoices; if you agree to that in writing, you don’t issue your own tax invoice for the same work. On construction jobs, your state’s security of payment law gives subcontractors a fast way to claim progress payments; the details differ by state.
Getting paid
Print your terms and payment methods on the invoice. Interest or late fees only apply if the customer agreed to them beforehand. If a payment runs late, business.gov.au suggests a polite reminder first, then a letter of demand. See get paid faster.
Final invoice in one click
In Karya Falak the accepted quote becomes the invoice with the deposit taken off, and if you switch reminders on, overdue invoices are chased 1, 7 and 14 days after the due date. Each issued invoice and its payments also go to Xero or QuickBooks. See invoicing. Rules checked 30 October 2026 against ato.gov.au, business.gov.au, ACCC and state regulator guidance. General information only, not tax or legal advice. Ask your accountant, BAS agent or state regulator about your own situation.
Questions
Do I invoice the deposit separately?
Yes. A deposit is a payment for the job, so a GST-registered painter gives a tax invoice for it, then takes it off the final invoice.
A builder wants to send me an RCTI. Is that allowed?
Yes, if you are both registered for GST and have a written agreement. The RCTI must show both ABNs, and you don’t send your own tax invoice for that work.
How long should I keep painting invoices?
Five years, along with your quotes and receipts.
