Electrician invoice template for Australia

This free electrician invoice template covers the ATO basics for an Australian tax invoice: "Tax invoice", your business name, ABN, the date, what you did and the GST, plus the customer’s details on sales of A$1,000 or more. Electrical work adds its own wrinkles: certificate numbers, test and tag runs across many items, and builders who pay by RCTI or progress claim. The template does the GST maths, and this page explains the rest.

What to show on an electrical invoice

  • Labour and materials on separate lines, with quantities.
  • The certificate or compliance reference number for the work, so the customer can match the invoice to the paperwork.
  • The quote or work order number the job came from.
  • Any after-hours call-out, at the rate the customer agreed beforehand.
  • Your licence number alongside your ABN.

Invoicing test and tag and other repeat work

Test and tag, emergency lighting checks and other maintenance run on a cycle, often across several sites for one customer. Invoice by quantity, such as items tested or fittings checked, and add failed items you replaced as their own lines. For a customer with several sites, one invoice listing each site is easier for their accounts team than five separate ones. In Karya Falak you can put several jobs for the same customer on one invoice.

Working for builders: RCTIs, TPAR and progress claims

Builders often pay electrical subcontractors through a recipient-created tax invoice. It is allowed only when both of you are registered for GST and have a written agreement, and it must show both ABNs. If you agree to one, don’t send your own tax invoice for the same work.

Builders also lodge a taxable payments annual report with the ATO by 28 August, listing what they paid contractors like you. If your invoice mixes labour and materials, they report the total. Keep your name, ABN and address current with every builder you work for.

On construction work, every state has security of payment laws that give subcontractors a fast way to claim progress payments. The rules differ by state; in NSW, for example, the builder has 10 business days to answer a payment claim. Check your own state’s rules before relying on them.

Getting paid by homeowners

For homeowners, many electricians ask for payment on completion. That is common practice, not a law; whatever terms you choose, put them on the quote and the invoice. Late fees and interest can only be charged if the customer agreed to them beforehand.

Invoices that follow the job

In Karya Falak the accepted quote becomes the invoice, with any deposit taken off. Each line carries its tax code, GST is worked out in whole cents, and overdue invoices are flagged on the board, and if you switch reminders on, the customer is reminded 1, 7 and 14 days after the due date. Issued invoices and payments go to Xero or QuickBooks. See invoicing. Rules checked 30 October 2026 against ato.gov.au, business.gov.au, ACCC and state regulator guidance. General information only, not tax or legal advice. Ask your accountant, BAS agent or state regulator about your own situation.

Questions

Do I need the customer’s name on a small invoice?

The ATO only requires the buyer’s identity or ABN on sales of A$1,000 or more, but an invoice that includes it is valid for any amount, so it is simpler to add it every time.

A builder hasn’t paid my progress claim. What can I do?

Construction subcontractors can use their state’s security of payment process. The steps and deadlines differ by state, so check your regulator’s guide or get advice.

What happens if I leave my ABN off?

A business paying you may have to withhold 47% of the payment for the ATO. Always print your ABN.
