Send invoices straight from the job
Karya Falak turns the job into a tax invoice with your ABN, PayID and bank details, and syncs it to Xero or QuickBooks.
Regular clients can be invoiced after each clean or once a month. Per visit keeps your cash coming in; monthly means fewer invoices for an office client’s accounts team. If you invoice monthly, list each visit with its date, so the client can check it against their own records. Add one-off extras, such as a fridge clean-out, as their own lines with the date they were done.
Watching the GST threshold
You must register for GST when your GST turnover reaches $75,000, counting either the last 12 months or the next 12. Register within 21 days. If you should have registered and didn’t, the ATO can ask for GST on sales since then, even though you never charged it. Busy cleaning businesses with a few regular office contracts can cross the line faster than they expect. See GST for tradies.
Office and property management clients need a valid tax invoice to claim the GST back, so once you are registered, make sure every invoice to them carries the GST and your ABN.
Paying contractor cleaners
If your business pays contractors to clean, you must lodge a taxable payments annual report (TPAR) with the ATO by 28 August each year, listing what you paid each one. Wages aren’t included. Keep each contractor’s name, ABN and address on file. If a contractor gives you no ABN, you generally have to withhold 47% of the payment and send it to the ATO.
Terms for regular clients
Payment terms are whatever you agree, so put them on the invoice: due on the day of the clean, 7 days, or 14 days for office clients. business.gov.au suggests listing your payment methods and terms on every invoice. A late fee can only be charged if the client agreed to it beforehand.
Invoices that go out by themselves
In Karya Falak a repeating clean can be invoiced per visit or once a month, either as drafts for you to check or issued and sent automatically. If the client saved a card and the repeating clean is set to auto-pay, the card is charged when the invoice is issued, and a declined card is tried again over the next 72 hours. Everyone else gets your PayID and bank details on the invoice, and you can switch on reminders after the due date. See scheduling and invoicing. Rules checked 30 October 2026 against ato.gov.au, business.gov.au, ACCC and state regulator guidance. General information only, not tax or legal advice. Ask your accountant, BAS agent or state regulator about your own situation.
Questions
I’m not registered for GST. What do I put on my invoice?
Title it "Invoice", leave out GST, and include your business name, ABN, a number, the date, the client, the cleans and your payment terms.
Do I need a separate invoice for each property?
Not by law. One invoice can cover several properties for the same client, as long as each line says which property and date it was for.
How long do I keep cleaning invoices?
Five years. Digital copies are fine.
