This free tax invoice template for Australia shows everything the ATO says a tax invoice must have: the words "Tax invoice", your business name and ABN, the date, what you sold with quantities and prices, and the GST. Fill it in and it works out GST to the cent, asks for the buyer’s details on sales of A$1,000 or more, and prints or saves as a PDF. Not registered for GST? Switch it off and it becomes a plain invoice with no GST.

Fields in the free tax invoice generator, and which ones the ATO requires
How to fill it in
Set Registered for GST first. It decides the heading and whether GST is added.
Enter your business name, ABN and contact details.
Give the invoice the next number in your own sequence, and today’s date.
Add the customer. For a business customer, add their ABN as well.
Add each line and mark any GST-free ones. If you took a deposit, add it as a line taken off the total.
Set the due date, add your bank and PayID details, then print or save as a PDF.
The seven things every tax invoice must show
For a sale under A$1,000, the ATO requires:
that it is meant to be a tax invoice, which in practice means the words "Tax invoice" at the top
your identity, meaning your business name
your ABN
the date it was issued
a brief description of what was sold, with the quantity if it applies and the price
the GST amount, if any
how much of each item is taxable
For a sale of A$1,000 or more, it must also show the buyer’s identity or ABN. The ATO says an invoice that meets the A$1,000 standard is also fine for smaller sales, which is why the generator keeps the customer field on every invoice. The full explanation is in our guide to tax invoice requirements in Australia.
When you have to give one
You don’t have to send a tax invoice for every sale unless the customer asks. If a customer asks for one on a sale over $82.50 including GST, you have 28 days to give it to them. Most service businesses send one with every job anyway, because a business customer can’t claim the GST back without a valid tax invoice, and an invoice with missing details isn’t valid.
Your ABN matters for a second reason. If a supplier doesn’t quote an ABN, the business paying them generally has to withhold 47% of the payment and send it to the ATO. Put your ABN on every invoice and that never comes up.
Not registered for GST?
The ATO says a business that isn’t registered for GST must not use the words "tax invoice" and must not charge GST. Switch GST off in the generator and the document is titled "Invoice", with no GST line. Keep your ABN, the date, a number, the customer and your terms on it anyway; that is good practice rather than a legal list. You must register once your GST turnover reaches $75,000, so watch your last 12 months and your next 12. GST for tradies explains how it works.
Getting the GST right
GST is 10% on top of a GST-exclusive price, or one eleventh of a GST-inclusive one. Round GST to the nearest cent, with half a cent rounded up. With several taxable lines, the ATO accepts two methods: round once on the invoice total, or round the GST on each line and add the lines (the taxable supply rule). The generator works line by line, the same way Xero, QuickBooks and Karya Falak do, so the totals match your books.
Fixing an invoice after you send it
If an invoice has wrong or missing details and the customer asks, you must replace it. If the price changes after you have reported the GST, for example a discount, cancellation or refund, the ATO expects an adjustment note that says why, by how much and the GST involved. Keep every invoice and adjustment note for five years; digital copies are fine.
From a template to invoices that chase themselves
A template is fine for the odd job. Once you are sending several a week, the work is in the numbering, the follow-up and knowing who has paid. In Karya Falak, invoicing takes care of these parts for you:
The heading is "Tax invoice" or "Invoice" depending on your GST registration.
Your ABN is checked against the ATO’s check-digit rule before it is printed.
A tax invoice of A$1,000 or more won’t issue without the buyer’s name or ABN.
Numbers are given when an invoice is issued, with no gaps and no duplicates.
Your PayID, BSB and account print on the invoice with a QR code to the pay page, and you can add an Australian payment slip.
Customers can pay online by card from a link once you connect your Stripe account, and you can switch on reminders that go 1, 7 and 14 days after the due date, or on days you choose.
Issued invoices and payments go to Xero or QuickBooks to the cent.
Karya Falak doesn’t issue adjustment notes or credit notes; you make those in Xero, QuickBooks or your accounting system. Rules checked 30 October 2026 against ato.gov.au, business.gov.au, ACCC and state regulator guidance. General information only, not tax or legal advice. Ask your accountant, BAS agent or state regulator about your own situation.
Questions
What’s the difference between an invoice and a tax invoice?
A tax invoice is issued by a business registered for GST and must show the details the ATO lists, including the GST. A business that isn’t registered issues a plain invoice and charges no GST.
Can I write "Total price includes GST" instead of a GST amount?
Only when GST is exactly one eleventh of the total, which means every line is taxable. If the invoice mixes taxable and GST-free lines, show the GST amount and mark which lines carry it.
How long do I have to keep my invoices?
Five years from when you made them or the sale was completed, whichever is later. Electronic copies are fine.
A builder says they will send me an RCTI. Do I still invoice them?
No. With a recipient-created tax invoice, the buyer writes the tax invoice for you under a written agreement, and you don’t issue your own for that work. Both of you must be registered for GST.
