Landscaping quote template

A landscaping quote is mostly quantities: square metres of turf, cubic metres of soil and mulch, lineal metres of edging, numbers of plants. Get those right, say what happens if you hit rock, and the rest is easy. Use the free landscaping quote template below, which starts with example lines for a new lawn and garden bed, then read the notes on access, unknowns, deposits and plant warranties.

What to put on a landscaping quote

  • A short scope with a sketch or photo reference: lawn area, beds, paths, walls.
  • Measured quantities with units: m² for turf and paving, m³ for soil and mulch, lineal metres for edging.
  • Materials by name: turf variety, soil blend, mulch type, pot size for plants.
  • Site preparation: removing old lawn, levelling, green waste.
  • Machine hire and tip fees as their own lines.
  • Access: gate width, slope, where deliveries can be dropped.
  • A valid-until date, especially in spring when supply prices move.

Plan for what is under the ground

You can’t see buried rock, old footings, roots or services until you dig. Check underground services before you start, and write the risk into the quote: price the excavation for normal soil, and say how rock or buried concrete will be charged if you find it, for example by the hour of machine time. Then, if it happens, stop and get the customer’s agreement before the extra work. Regulators are clear that a tradesperson can’t do extra work first and bill it later. See quote vs estimate.

Walls, decks and approvals

Retaining walls above a certain height, and some structures, can need council approval or an engineer, and the limits vary by council and state. Find out before you quote, and say who arranges and pays for any approval. In some states structural landscaping counts as residential building work, which brings licensing, written contract and deposit rules with it.

Deposits and progress payments

For a big job, a deposit followed by progress payments at set stages, such as earthworks done or walls built, keeps your cash flow sane and gives the customer clear points to check. Where the work is residential building work, deposits are capped in some states: 10% in NSW, and 10% or 5% in Victoria depending on the contract price. The general quote template lists all the limits we checked.

Plant warranties

If you guarantee plants, say for how long and on what condition, usually that they are watered as you advised. Plants that die from neglect aren’t a workmanship fault, but you have to have said so up front.

Send it as a quote with options

In Karya Falak you can offer choices on one quote, such as turf or synthetic, or a timber or steel edge, and the customer ticks what they want on their phone. If you ask for a deposit, accepting issues its invoice. Ongoing garden maintenance can then run as repeating visits. See software for landscapers and quotes. Rules checked 30 October 2026 against ato.gov.au, business.gov.au, ACCC and state regulator guidance. General information only, not tax or legal advice. Ask your accountant, BAS agent or state regulator about your own situation.

Questions

Should I quote or estimate a landscaping job?

Quote what you can measure, such as turf, edging and plants. For excavation with unknown ground, give a clear rate for rock or obstructions, or an estimate, and say so on the document.

Do I add GST to plants and materials?

If you are registered for GST, plants, soil and materials you supply are taxable like the labour. Show homeowners the GST-inclusive total.

Can I charge for green waste removal?

Yes, if it is on the quote. Show it as its own line, by load, tonne or m³.
