Free quote and invoice templates for Australian businesses

Here are free quote and invoice templates for Australian service businesses, with GST shown on the tax invoice the way the ATO expects. Start with the general quote or tax invoice template, or pick your trade for one laid out with the kind of lines that trade usually charges for. Each template page explains what to include and why.

  • Quote template: a general quote for Australian work, with line items, GST, optional extras, a valid-until date, terms and a place for the customer to accept.
  • Tax invoice template: a general tax invoice with your ABN, the date of issue, what was supplied, GST, and how to pay by bank transfer or PayID.

Templates for your trade

Trade templates start from the general ones and add the lines, notes and terms that trade usually needs.

Quote or tax invoice: which one do you need?

A quote is an offer before the work: what you will do and what it will cost. A tax invoice is the bill after the work, and it is what your customer needs to claim GST credits if they are a business. If you are not sure whether to call it a quote or an estimate, read quote vs estimate.

Getting GST right on every document

The rules for what a tax invoice must show are set by the ATO. Our guide to tax invoice requirements in Australia goes through each one, and GST for tradies covers registering, pricing with GST and your BAS.

Karya Falak applies these rules for you. A GST-registered business gets documents titled Tax invoice, your ABN is checked before it is printed, each line carries GST, GST-free or input-taxed, and the buyer’s details are asked for once a sale reaches the amount the ATO sets.

When a template stops being enough

A template is a good start. The trouble comes later: copying the customer’s details from a message, chasing a reply to a PDF, retyping the quote as an invoice and remembering who has paid.

In Karya Falak the quote goes as a link the customer can accept on their phone with a signature. The same lines become the tax invoice in one click, and the invoice shows as paid on the job card. See quotes and invoicing.

Questions

Are the templates free?

Yes, they are free to use.

Do I have to be registered for GST to use them?

No. If you are not registered, call the document an invoice rather than a tax invoice and leave GST off. Our GST guide explains when you must register.

Can I add my logo?

Yes. And in Karya Falak your logo and colours go on every quote, invoice and job sheet automatically.
