Handyman software for Australian businesses
Karya Falak is handyman software for Australian handyman and property maintenance businesses. It is built for lots of small, different jobs. Customers book a free time online or send an enquiry that becomes a job card. You price from a price book with call-out, hourly and fixed-price items, and the time on site turns into labour lines on the invoice. Property managers get several jobs on one GST tax invoice. It works for a one-person business on a phone and grows with you when you add a helper.
Lots of small jobs, all different
A handyman’s day might be hanging two doors, patching plaster after a leak, assembling flat-pack, fixing a fence paling, cleaning gutters and replacing a rotten deck board. Each job is small, so the admin around it, like quoting, booking, finding the address and invoicing, can take longer than the work. The software has to make each job quick to start and quick to close.
In Karya Falak every enquiry becomes a card on your Jobs board, whether it came from your web form, an email or a property manager’s work order. The card holds the customer, the address, the photos they sent and the history, so on Thursday you don’t have to scroll through texts to find what they asked for on Monday.

Know where the licence line is
Handyman work has limits in every state. In New South Wales, for example, you need a contractor licence for residential building work where labour and materials total more than five thousand dollars, GST included. Specialist work such as electrical, plumbing, gas and air conditioning needs a licence whatever the value (Housing Industry Association guidance, checked 30 October 2026). Other states set their own thresholds and rules, so check your state’s regulator.
Karya Falak shows the quote total, GST included, as you build it, so you can see when a job is drifting towards your state’s limit before you send it. When a customer asks for something outside your licence, a saved reply lets you say so politely and point them elsewhere.
Pricing small jobs: call-out, hourly or fixed
Most handyman businesses mix three ways of charging. Put each in your price book once:
- A call-out or minimum charge, so a ten-minute job still covers the drive.
- Hourly and half-day rates for jobs you can’t see the end of, like "fix whatever is wrong with the back door".
- Fixed-price jobs you do often: hang a door, assemble a wardrobe, mount a TV, clean the gutters on a single-storey house.
- Materials at cost plus your markup, worked out on the quote, or added to the invoice as billable expenses with your markup, so you never sell a hinge at a loss.

Time on site becomes the invoice
For hourly work the Field app records when you set off, arrived and left. The time between arriving and leaving becomes labour lines on the invoice, rounded to the minute, quarter hour or half hour, whichever you choose. Bought a part at the hardware store on the way? Snap the receipt, record it as a billable expense, and add it to the invoice too.
Send the invoice before you leave the driveway. It shows your ABN and, if you are registered for GST, the "Tax invoice" title, and your PayID and BSB print with a payment slip and QR code. Customers can also pay by card through your own Stripe account. Overdue reminders go out on the days you set, so you don’t have to make awkward follow-up calls. More ideas are in get paid faster.
Let customers book small jobs themselves
Small fixed-price jobs don’t need a quote, only a time. A booking page on your website, or its QR code on your van, shows customers the times you are actually free, worked out from your hours and your Calendar, and only for the suburbs you cover. In instant mode the customer confirms with a six-digit code sent to them, and the job is booked. In request mode you approve each one first. Customers can move or cancel their own booking, and the page closes on public holidays.
Property managers, strata and landlords
Repeat clients like real estate agencies and strata managers send steady work, but they send it as emails with work order numbers and want invoices their own way. Each work order email becomes a job card, and response targets that count business hours only remind you which agency is waiting. Add the agency as a company and each property manager as a contact under it.
At the end of the week, batch invoicing turns all of one client’s finished jobs into one invoice, with the lines grouped under each job, or one invoice each if they prefer. A client hub link, with no password, lets a landlord see their quotes, visits and invoices, accept a quote and ask for more work without phoning you.
Solo now, a helper later
On your own, Karya Falak runs in your phone’s browser and can be added to your home screen, so you don’t need a laptop. When you take on a helper, add them as a field member at A$9 a month. They see only the jobs you give them in the Field app, and they work in the app only. The app runs on iPhone and Android. Starter is A$49 a month for up to 10 people in the office.
Coming from a spreadsheet, ServiceM8, Tradify or another job app? Import your customers and price list from a CSV file. Check the preview before anything changes, and undo the import within seven days if it doesn’t look right.
Questions
Can I charge a minimum call-out fee?
Yes. Add it to your price book as its own item and it can be added to any quote or invoice in a couple of taps, alongside hourly or fixed-price items.
Can I put several jobs for one agency on one invoice?
Yes. Batch invoicing puts two or more finished jobs for the same customer on one invoice, with the lines grouped by job, or makes one invoice per job if you prefer.
Does it work if I am a one-person business?
Yes. Karya Falak runs in a phone browser, so you can quote, book and invoice from the van. You only add field members when you take on help.
Will it stop me quoting over my licence limit?
It will not stop you, but it shows the quote total including GST as you build it, so you can check it against your state’s threshold before sending.
