Job management software in Australia: a buyer’s guide

The right job management software in Australia is the one that fits how work reaches you, how you price it and where your books live. Before comparing feature lists, answer five questions: how customers contact you, how many people need a login, which accounting software you use, how customers pay, and whether your crew needs an app on site. This guide turns those into a checklist and shows, with sources, how ServiceM8, Tradify, Fergus, Jobber, AroFlo, Simpro and Karya Falak line up. Vendor details were checked 30 October 2026.

Start with your own week, not a feature list

Every tool here does quotes, jobs and invoices. The differences show up in your week. Before you book a demo, write down your last 20 jobs and, for each one: how the customer first got in touch, who priced it, who went out, how long the invoice took to go out, and how the customer paid.

That list tells you what to test. If half your work arrives by text message, messaging matters more than a supplier price feed. With three in the office and eight on the tools, the pricing model matters most.

1. How the price is worked out

Job management software is priced in three main ways: per user, per job, or per business with extra charges for some people. The same team can pay very different amounts depending on the model. The table shows what each vendor’s own site said on 30 October 2026. Prices change often, so follow the links for current figures.

For Karya Falak, Starter is A$49 a month for up to 10 people in the office, and Growth is A$99 a month with no limit on people in the office. Each field member is A$9 a month on either plan. All prices include GST. See pricing for worked examples.

Price your team as it will be in two years. A per-user price that is cheap for two people can be expensive for twelve, and a per-job price climbs fast with many small jobs.

2. Australian tax invoices and GST

Any tool you use in Australia has to produce a valid tax invoice: the words “Tax invoice”, your ABN, the GST, and the buyer’s name or ABN on sales of A$1,000 or more. Ask each vendor for a sample invoice and check it against our tax invoice requirements guide. Check that prices can be entered including GST, since that is how you quote homeowners.

Also ask what the tool gives you at BAS time. Karya Falak has a GST on sales report with the G1 and 1A figures on a cash or accruals basis.

3. Your accounting software

If you use MYOB, this question narrows your list straight away.

Ask which way the sync runs. With a one-way sync, payments recorded in your books never reach the job app. Karya Falak sends invoices, customers and payments to Xero or QuickBooks, and a payment recorded there comes back to the job. It does not connect to MYOB, so if you are on MYOB and plan to stay, it is not the right fit today.

4. How enquiries reach you

In a service business, work starts as a message: a text, an email, a web form or a WhatsApp. Check how each tool handles that message before it is a job, and who can answer it.

  • ServiceM8 includes SMS on paid plans. Its two-way SMS lets clients reply through a mobile web page, and its Email Inbox, included from the Growing plan, turns forwarded job emails into jobs.
  • Tradify takes enquiries through a web form or a personalised enquiries email inbox. Text messages are a paid extra per message.
  • Fergus has an enquiry form for your website or Facebook page, and two-way SMS through its SMS integration.
  • Jobber says two-way text messaging is only available in the US, UK and Canada.
  • AroFlo offers two-way messaging with automated SMS job updates.
  • Simpro offers WhatsApp through a partner app in its marketplace.
  • Karya Falak puts email and web form messages in one shared inbox, and each conversation becomes a card on a board that you assign to someone on the team. WhatsApp and two-way SMS from an Australian number land in the same inbox.

5. Taking payment

Ask how customers pay, who processes the payment, and whether it works in Australia.

  • Jobber says its own Jobber Payments is available in the UK, US and Canada only. Third-party payment integrations, including Stripe and Square, work for Australian accounts on select plans.
  • ServiceM8 takes card payments, with fees that fall on higher plans.
  • Tradify takes card payments from its Lite plan, and customers pay from the invoice.
  • Fergus runs Fergus Pay on Stripe Connect, takes deposits when a quote is accepted, and supports tap-to-pay on phones.
  • AroFlo lists Stripe and Square among its integrations.
  • Karya Falak connects your own Stripe account for card, PayTo and BECS direct debit, where your account has them switched on, plus deposits on quotes and saved cards for repeat work. Bank transfer and PayID details print on your invoices, and those payments are marked paid by hand. It has no tap-to-pay.

6. The app your crew uses

Have your best tradie, not the owner, run a real job in each trial app: the day’s jobs, photos, notes, a signature, and working with no signal.

Jobber, Tradify, Fergus, AroFlo and Simpro all publish phone apps for both iPhone and Android. ServiceM8 has an iPhone app and announced a rebuilt Android app as a beta in August 2026.

The Karya Falak Field app is for the crew and runs on iPhone and Android. It works with no signal, with photos and a signature to finish a visit. Field members can only use the Field app, not a phone browser. Office staff can use the web app in a phone browser.

7. What customers can do themselves

Self-service saves phone calls. Jobber offers a client hub, and online booking from its Core plan. ServiceM8 offers booking pages through its Services add-on. Tradify offers online quote acceptance on its Pro plan and above, and Fergus online quote acceptance with a deposit.

Karya Falak gives each customer a no-password client hub for their quotes, visits and invoices, and a public online booking page that shows only truly free times.

8. Where your data is kept

Ask where your customer data is stored. ServiceM8 says it is hosted on AWS with data stored in several regions, including Australia, the US, Ireland, Singapore and Tokyo. Karya Falak’s application and database are hosted in Sydney, and the database itself stops one business seeing another’s data. The other vendors did not state one on the pages we checked, so ask.

9. Track record, support and AI

The established tools have years of history. Jobber says it has more than 400,000 service pros in over 60 countries. RNZ reported Tradify had 20,000 customers when The Access Group bought it in 2024. Fergus says more than 25,000 tradies use it and has an Australian office in Sydney. AroFlo, based in Melbourne and part of the Simpro Group, says more than 30,000 tradespeople in Australia and New Zealand use it. Simpro was founded in Brisbane in 2002. ServiceM8 is an Australian company.

Karya Falak is a newer Australian product. If a long track record matters most to you, weigh that.

Several vendors now market AI features: Fergus and AroFlo have AI assistants, Jobber sells an AI Receptionist and ServiceM8 an Office Agent Pro add-on. Karya Falak has no built-in AI. What it does have is a connector that lets your own Claude or ChatGPT account work with your jobs, on every plan.

Who each tool tends to suit

Based on what each vendor emphasises:

  • ServiceM8: iPhone-first crews who like paying by job volume, solo operators who want a free plan, and MYOB users.
  • Tradify: trades who want strong quoting, all three accounting links on every plan, and free training and phone support.
  • Fergus: growing trade teams who want price links with more than 100 Australian suppliers, including Reece and Tradelink.
  • Jobber: businesses that want a polished client hub and online booking backed by a very large user base, and can work without the features Jobber says are not available in Australia.
  • AroFlo and Simpro: trade businesses happy with a demo-led setup through a sales team. Simpro also has a large partner marketplace.
  • Karya Falak: teams whose work starts as messages, who want boards with their own columns, flat pricing for the office, Xero or QuickBooks, and hosting in Sydney. It also suits IT, support and hospitality teams, not only trades.

Run a fair trial

Give two or three shortlisted tools the same test over the same week:

  • Import your real customer list, not the sample data. Karya Falak can import from ServiceM8, Tradify, Fergus, Jobber and simPRO exports, with a preview and an undo for 7 days. Check the preview against your own file before you confirm.
  • Send yourself a quote and accept it on your phone.
  • Turn it into a tax invoice and check it against the ATO list.
  • Sync it to a test accounting file.
  • Have a crew member run a job from start to finish.
  • Export your data and open it in a spreadsheet.

Questions

What is the best job management software in Australia?

There is no single best. It depends on how work reaches you, how many people need a login, your accounting software and whether your crew needs a phone app. Use the checklist above, then trial two or three tools with your own data.

Is ServiceM8 or Tradify cheaper?

It depends on your team. ServiceM8 charges by jobs per month and Tradify by users, so a small team doing many jobs and a large team doing a few big jobs can get opposite answers. Check both pricing pages with your own numbers.

Does Jobber work in Australia?

Yes, with gaps. Jobber’s own pages say two-way texting and Jobber Payments are not available in Australia, its website prices are in USD, and its Xero sync is one way.
