Who owes you, what came in, and a GST on sales report for your BAS

Karya Falak’s reports answer the questions every service business asks first: who owes me money, what came in this month, and what GST did I charge. The GST on sales report gives the figures for G1 and 1A on your BAS, by invoice date or payment date. Alongside it are quotes won and lost, visits, time on visits, job profit and team performance, each with a CSV export.

Money owed

As of today in your time zone, every unpaid or part-paid invoice, less what has been paid, grouped by customer with the biggest debt first. Each amount sits in a bucket: not yet due, 1 to 30 days late, 31 to 60, 61 to 90 and over 90. Open a customer to see their invoices, oldest first, each linking to the invoice. Pair it with the overdue reminders in invoicing.

Payments received

Every payment received in the period, totalled by week or month, by method (bank transfer, PayID, card, PayTo, direct debit, cash or other) and by customer. It is the quick answer to “what came in this month?” without opening your bank app.

GST on sales, for your BAS

The GST on sales report gives two figures for your business activity statement: G1, total sales including GST (GST-free and input-taxed sales included), and 1A, the GST on those sales. Both are also broken down by tax code. Choose the basis your business reports on:

  • By invoice date (accrual): issued invoices dated in the period.
  • By payment date (cash): each payment received in the period, carrying its exact share of the invoice’s sales and GST, so part payments add up to the cent.

What the GST on sales report covers

Why 1B is not here

Karya Falak holds your sales, not your purchases, so it cannot work out your GST credits (1B). The report says so in plain words. Take G1 and 1A from here, get 1B from Xero, QuickBooks or your bookkeeper, and check the figures with them before you lodge. A voided invoice counts on neither basis. If your business is not registered for GST, the report tells you that too. For the background, read GST for tradies.

Quotes won and lost

Quotes sent in the period at their total, and quotes accepted, declined, expired or withdrawn. Your win rate is accepted out of accepted, declined and expired; withdrawn quotes are your decision, not the customer’s, so they are left out. Decline reasons are grouped with their value, so you can see whether you lose on price, timing or something else. See quotes.

Visits, time and team

  • Visits: done, cancelled, not marked and still to come, week by week and by customer.
  • Time on visits: on the way, arrived and left times for each person, and minutes on site, from My jobs or the Field app.
  • Profitability: profit and margin per job, from job costing.
  • Team performance: work done, open now, first reply times, targets met, visits done and quotes sent and accepted, per person and role.

CSV for your accountant

Every tab exports the rows behind what is on screen to CSV, with amounts as plain numbers ready for a spreadsheet. The GST export has a row per invoice or payment with a G1 and 1A total. Each export is recorded in the audit log with who ran it and for what period.

Who sees what

Money reports and quote values are for owners and admins only. Team members and viewers can open the visits, time on visits and team reports, and the people you give job costing also see profitability. Field members do not see reports.
