Online payments for tradies, landing in your own Stripe account

Karya Falak handles online payments for tradies and other service businesses: customers pay invoices and quote deposits online, through a Stripe account that belongs to your business. Card, PayTo and BECS direct debit are offered where your Stripe account has them switched on. When the payment succeeds, the invoice is marked paid and the card on your board says so, without anyone typing anything.

How it works

You connect your own Stripe account once, from Settings. Each issued invoice then gets a pay page with its own private link. The customer opens it, sees the invoice and its PDF, and pays with the methods your Stripe account allows. Your PayID and bank details are on the same page for anyone who would rather transfer.

The money goes from the customer to your Stripe account and then to your bank. It never passes through Karya Falak. Stripe’s own fees apply as agreed in your Stripe account.

  • Card, through Stripe’s secure payment form.
  • PayTo, where your Stripe account has it enabled.
  • BECS direct debit from an Australian bank account, where enabled.
  • PayID and bank transfer details, marked paid by hand when they arrive.

Deposits when a quote is accepted

Ask for a deposit on a quote and the customer’s accept button reads “Approve and pay deposit”. Accepting issues the deposit invoice with the right GST and takes them straight to its pay page. The deposit comes off the final invoice made from the quote, once, so nobody is billed twice.

Saved cards and auto-pay for regular work

For cleans, services and maintenance that repeat, a customer can save a card for future invoices from your business. They tick a box on the pay page, or add a card in their client hub, and agree to plain-English wording that is stored with the time, address and browser. Card numbers are never kept in Karya Falak, only the brand, last four digits and expiry.

Turn on auto-pay for a repeating visit and the saved card is charged when each visit’s invoice is issued. If a charge is declined, the office is told, the customer gets a message with a link to update their card, and Karya Falak tries again over the next 72 hours, four tries in all. A removed card is never charged again.

Why your own Stripe account matters

  • The customer relationship and the payout are yours, under your business name.
  • You see every payment in Stripe as well as in Karya Falak.
  • If you stop using Karya Falak, your Stripe account and its history stay with you.
  • You choose which payment methods to switch on in Stripe.

Fewer reasons for a customer to wait

A late payment is often not a refusal. The invoice got lost in an inbox, or paying meant finding the BSB. A link that opens on the phone, with a card form already there, removes both. Pair it with the overdue reminders in invoicing, and read our guide on how to get paid faster.

What is not included

Karya Falak does not offer Tap to Pay on a phone. Surcharges and tips are not added. Refunds and credit notes are made outside Karya Falak, in Stripe and your accounting system.

Questions

Do I need a Stripe account?

Yes, for card, PayTo and direct debit. You connect your own account from Settings. Without one, customers can still pay by PayID or bank transfer from the details on the invoice.

Does Karya Falak hold my money?

No. Payments go to your own Stripe account and then to your bank. Karya Falak never holds them.

Can a customer pay part of an invoice?

You can allow part payments online in the client hub settings. Part payments by PayID or bank transfer add up when you record them.

What does it cost?

Online payments are part of both plans, from A$49 a month. Stripe charges its own fees for each payment.
