Import jobs and customers from CSV, price book included

Switching job software is mostly a data problem. Karya Falak lets you import jobs and customers from CSV files, along with your price book items. It has column presets for files from ServiceM8, Tradify, Fergus, Jobber and simPRO, plus Trello, Asana, Jira, monday.com, ClickUp, Google and Outlook contacts, HubSpot, Zendesk, Freshdesk and Help Scout. You check every row before anything changes, and you can undo an import for seven days.

How an import works

  • Pick where the file came from and upload it. CSV files saved by Excel or Google Sheets open fine in the usual text encodings. An Excel workbook has to be saved as CSV first.
  • Columns are matched using that tool’s column names. Anything else is matched by the closest name and marked Check. You can change any match, and you see the first few values under each column.
  • The review shows what every row will do: new, update, no change, skipped (with the reason) or a problem.
  • An update only fills in details that are empty. It never writes over what you already have.
  • Download the rows that won’t import, fix them and try again.
  • The import runs in batches and you can watch it go. Running the same file again adds nothing twice.

What happens to your jobs

Open jobs become cards on your job board in the column that matches their status. A ServiceM8 quote lands in Quoted and a work order in Booked. Each card keeps the old job number in its title, with the site, the customer and the job description as its first note. Completed and unsuccessful jobs are left out unless you ask for them.

Nothing goes to customers during an import. No rules run and no reply targets start. Phone numbers are stored in international format, ABNs are checked, and addresses are saved on the contact.

Materials go into your price book with their prices, ready to use on quotes and invoices.

Honest limits

We’d rather tell you now than have you find out halfway through a switch:

  • The presets follow the column names each tool uses in its exports and import templates. Tools change their export files from time to time, so expect to check a few columns marked Check.
  • Conversations, message history, invoices and payments are not imported. Keep past invoices in your old tool or in Xero or QuickBooks.
  • Helpdesk imports bring people across, not their tickets.

Undo for seven days

If an import doesn’t look right, undo it within seven days. Undo removes what the import created unless someone has since changed it, worked on it or used it, and it tells you what it kept. Every import has a history and an error report, and each step is written to the audit log.

A sensible order for switching

  • Export your customers first, then your materials or price book, then open jobs only.
  • Import a small file first to see how the columns match.
  • Connect Xero or QuickBooks so new invoices reach your books.
  • Run the old and new systems side by side for a week, then stop taking new work in the old one.
  • Leave finished jobs behind. They stay in your old system and your accounts.

Questions

Do I need a ServiceM8 API key?

No. Export your clients, materials and jobs from ServiceM8 as CSV files and upload them. No API key or connection is needed.

Will it create duplicate customers?

Customers are matched by email or phone, and ServiceM8 clients also by their ServiceM8 ID. A match updates empty details instead of creating a second contact, and the same file run twice adds nothing.

Can I import invoices?

No. Past invoices stay in your old tool or your accounting software. Start new invoices in Karya Falak.

Can I try an import during the trial?

Yes. The 14-day trial has everything switched on, imports included, and undo works the same way.

My file is from a tool that isn’t listed.

Save it as CSV and choose Any CSV. Columns are matched by name, and you confirm each one before anything is imported.
