Feature
A Claude and ChatGPT connector for job management, on your own account
Karya Falak’s Claude and ChatGPT connector for job management works through your own Claude or ChatGPT account. Once it’s connected, you can ask what’s on today, who’s waiting on a reply, or which jobs are done but not invoiced. With your permission it also drafts replies, moves cards and books visits. Karya Falak does not run the AI and doesn’t charge for this. Your Claude or ChatGPT account does the thinking. It works on every Karya Falak plan.
Things to ask
Ask the way you would ask someone in the office:
- What’s on my day today?
- Who has been waiting longest for a reply?
- Summarise KF-142 and draft a reply saying we can come Tuesday at 9.
- Which accepted quotes haven’t been booked yet?
- Which jobs are done but not invoiced, and which invoices are overdue?
- Move KF-150 to Booked and put Sam on it as lead.
What it can do, by permission
When you connect, you tick what the app may do. Your own role in Karya Falak still decides what you can see and change.
| Permission | When it is on | What it allows |
|---|---|---|
| Read | Always | Search and open cards, boards, contacts, conversations, the Calendar, quotes and invoices; your day; find unscheduled or unbilled work; check a visit time |
| Change | Ticked when you connect | Create, edit, move, finish and reopen cards; assign people; comment; add labels; add Calendar events; ask for time off; draft replies; create draft quotes and invoices |
| Send | Off unless you tick it | Send a reply to a customer, send a quote, send an invoice, book a visit |

Connector permissions and what each allows
Set it up yourself in a few minutes
The connector uses the Model Context Protocol (MCP), an open-source standard for connecting AI apps to other systems. You add it as a custom connector by pasting the address https://mcp.karyafalak.com/mcp, rather than by searching inside those apps.
The step-by-step guide has every click for each app.
- Claude: open Customize, then Connectors, choose Add custom connector, paste the address and choose Connect. On a Team or Enterprise plan an owner adds it once for everyone.
- ChatGPT: add a custom MCP server with the address and choose OAuth. Your workspace has to allow custom servers, so on a business plan an admin may need to turn that on.
- Claude Code, Cursor and VS Code: add it as an HTTP MCP server.
- Sign in to Karya Falak, pick the one organisation it may work in, tick what it may do, and choose Allow.
You stay in control
- It acts as you, in the one organisation you chose, and sees only what you can see.
- Features your business has switched off stay off.
- Tools that change or send are marked as such for your AI app, and Claude asks before it runs them.
- Every change shows in the audit log and on the card as you, "via Claude" or "via ChatGPT".
- Messages to customers follow the same opt-out and consent rules as messages your team sends.
- Customer messages and form answers are marked as untrusted, so the AI treats them as information, never as instructions.
- You can disconnect at any time. An owner can switch connected apps off for the whole business, or switch off just changes or just sending.
- A connection that goes unused for 30 days ends by itself.
Your data
The connector keeps nothing of its own. It reads from Karya Falak only when your AI app asks, and only what you are allowed to see. What it reads goes to the AI app you connected, and that app’s privacy terms apply. Our privacy policy explains how the connector handles personal information.
What it is, and what it is not
This is a way for the AI you already pay for to work with your Karya Falak data. It is not AI built into Karya Falak. Your own Claude or ChatGPT does the summarising and drafting, and Karya Falak adds no AI charge.
It also needs a Claude or ChatGPT plan that lets you add custom connectors. Their plans change, so check their own help pages.
Questions
Does it cost extra?
No. The connector is included on every Karya Falak plan at no charge. You pay Anthropic or OpenAI for your own Claude or ChatGPT plan as usual.
Does Karya Falak have built-in AI?
No. It works with your own Claude or ChatGPT through the connector, which summarises jobs and drafts replies from your Karya Falak data. There is no separate AI charge.
Can it message customers without me?
Only if you tick the Send permission. Sending is marked as an action to check with you first, and Claude asks before it sends. Opt-outs and consent are checked as they are for your team.
Can my field crew use it?
Field members can’t connect it. Office members can, with the same access they have in Karya Falak.
What if a customer message tries to give the AI instructions?
Customer messages and form answers are marked as untrusted, so the AI treats them as information. Nothing is done because a message asks for it.
